Feature

Mailroom parcel tracking at reception.

BeckonDesk logs every parcel that arrives at the front desk, tells the recipient by email, reminds them if it sits there, and records who collected it. Couriers can log a drop-off on the kiosk themselves, and reception can photograph the shipping label and let AI fill in the details. It is for receptionists and office managers who handle the post, and for anyone who has had to answer "did my parcel come?".

How it works

From the courier's hand to the recipient's desk.

01

The parcel is logged

Either the courier taps Delivery on the kiosk and picks the recipient, or reception logs it in the admin app, by scanning the label or typing it in.

02

The recipient is emailed

The recipient gets an email straight away that a parcel is waiting, with the carrier if it was given.

03

Reminders if it waits

If it is not collected, the recipient is reminded every 2 days, up to 3 reminders. The parcel list shows which reminder is next and roughly when.

04

Pickup is recorded

Reception marks it picked up, with the name of whoever collected it and, if you want proof, a signature on the screen.

Two ways to log a parcel

At the kiosk, or at the front desk with label reading.

Courier at the kiosk

  • Search, tap, done. The courier taps Delivery, types two or more letters of the recipient's name or department, and taps the right person. Carrier is optional, chosen from buttons such as UPS, FedEx, DHL and Amazon.
  • No staff emails on show. The kiosk shows names and departments only. BeckonDesk looks up the recipient's email itself and sends the notice.
  • Logged by the kiosk. Kiosk drop-offs are recorded as received by that kiosk, so you know where the parcel was left.

Reception in the admin app

  • Scan the shipping label. Take a photo of the label (up to 8 MB). AI reads the carrier, tracking number and the name of the person it is addressed to, and fills in the form.
  • Matched to your directory. The name on the label is compared with your active staff, and a close match fills in that person and their email. If there is no match, the form tells you to check the name.
  • Falls back to typing. The AI leaves out anything it cannot read clearly. If it cannot read the label at all, or AI is unavailable, you type the details in as normal. You check everything before saving.
  • Where the photo goes. Label reading runs on Azure OpenAI in a US Data Zone deployment. The photo is not stored; only the details you save are kept.
  • Notes and timing. Add a note, such as "large box, in the store room", and choose whether to email the recipient now.

Tracking what is waiting

See what is waiting, for how long, and who was told.

  • Mailroom stats. Awaiting pickup, received today, picked up today, and the average time to pickup over the last 30 days.
  • Aging. Waiting parcels grouped as 0 to 2 days, 3 to 7 days, and over 7 days, so the forgotten ones stand out.
  • Top recipients. The five people who received the most parcels in the last 30 days.
  • Search. Find a parcel by recipient, carrier or tracking number, and filter by status: awaiting, notified or picked up.
  • What was sent. Each parcel shows the emails sent about it and when, which settles "I never got a message" quickly.
  • Proof of pickup. The collector's name and time are stored on the parcel, and a captured signature can be opened from the parcel list.
  • Your email wording. The parcel email uses your logo and color, and you can rewrite or switch it off in the email template editor.

Parcels, not people

A delivery is not a sign-in.

The delivery flow logs a parcel and tells the recipient. It does not sign the courier in, so couriers do not appear on the on-site list or the evacuation roll call. If drivers come past reception, onto a loading dock or into the building, set up a visitor type for them and have them sign in at the kiosk like any other visitor. Our guide on truck driver check-in versus visitor sign-in covers when that matters.

Frequently asked

Is the photo of the shipping label stored?

No. The photo is sent to Azure OpenAI, in a US Data Zone deployment, to read the carrier, tracking number and recipient, and then discarded. Only the details you save are kept.

What happens if the AI cannot read the label?

The form says it could not read the label and you type the details in by hand. The AI only fills fields it can read clearly and leaves the rest blank, and you check everything before saving.

Do couriers sign in as visitors?

No. The kiosk delivery flow logs the parcel and tells the recipient; it does not sign the courier in, so couriers are not on the on-site list or the evacuation roll call. If drivers come on site, have them sign in under a visitor type of their own.

Can recipients get a text or Teams message?

No. Parcel notices and reminders go by email only, so the recipient needs an email address in your staff list.
