A clipboard and a "sign here" does one impression; a pre-registered QR scan, a printed badge, and a host already walking toward them does another. - Pre-registration from the host's calendar. The host invites the guest; the guest gets directions, parking notes, and a QR code. Reception sees who is expected all day.
- QR fast lane at the kiosk. Pre-registered guests scan and get a badge in seconds. Walk-ins take the standard flow with screening.
- NDA and site rules at the kiosk. Version-tracked documents signed before the badge prints, stored per visit, never chased afterwards.
- Host notified on arrival. Teams, Slack, SMS, or email the moment the guest signs in, with a photo so the host recognises them in the lobby.
- Deliveries without the desk. Couriers sign in on the same kiosk; the mailroom gets the notification instead of reception playing switchboard.

The layer the guest never sees.
- Screening on every sign-in. Names checked against sanctions lists and your internal ban list before the badge prints, with a silent alert to security on a hit.
- Evacuation-ready on-site list. When the alarm sounds, marshals see every guest, contractor, and delivery currently inside, live on a phone. The lobby iPad being inside the building stops mattering.
- Multi-tenant floors. Shared-building receptions serve several companies from one kiosk, with each tenant's guests, hosts, and records fully isolated from every other tenant's.
- SSO and directory sync. Hosts come from Entra or your IdP automatically; leavers stop being valid hosts the day they leave.
- Privacy by retention schedule. Guest records purge automatically on your schedule, satisfying GDPR-style minimisation without anyone remembering to delete anything.
